MCMC 2026 Conference Companion Privacy Policy

The Michigan Court Administration Association (“MCAA,” “we,” “us,” or “our”) provides the MCMC 2026 Conference Companion mobile application (the “App”) for attendees of the 2026 Michigan Court Managers Conference. This Privacy Policy explains what information the App collects, how that information is used and disclosed, and the choices available to App users.

This App-specific policy supplements the general privacy information available on the MCAA website. If a statement in this App-specific policy conflicts with a general website statement concerning the App, this App-specific policy controls for information collected through the App.

Information the App collects

Attendee profile information

When an attendee begins using the App, the App asks for:

• Display name
• Court, organization, or company
• Optional role or title
• Confirmation that the attendee accepted the App’s Community Guidelines and Terms of Use

The App creates an anonymous service identifier so the attendee profile and conference-chat activity can operate without requiring the attendee to create a traditional email-and-password account.

Conference communications and safety information

Depending on how an attendee uses the App, MCAA may collect and store:

• Messages posted in the conference-wide chat
• Messages posted in session-specific chats
• Private questions sent through Ask MCAA
• Messages sent in the Moderator Lounge by authorized moderators
• Message reports and the reason supplied with a report
• Blocked-attendee selections
• Moderator status and related administrative records
• Message-moderation information, such as whether a message was pinned, hidden, reviewed, or resolved
• Dates and times associated with profiles, messages, reports, and moderation actions

Display names, organizations, optional titles, and messages posted in conference-wide or session-specific chats are visible to other App users. Ask MCAA conversations are intended to be visible only to the attendee who started the conversation and authorized MCAA moderators. Moderator Lounge messages and moderator-management tools are intended to be visible only to authorized moderators or administrators.

Information stored on the device

The App stores certain information locally on the attendee’s device, including:

• A local copy of the attendee profile
• Saved sessions and My Plan selections
• Cached conference content
• Cached chat messages and read status
• Blocked-attendee identifiers
• Tutorial preferences and dismissed tips or notices
• Authentication information needed to keep the anonymous App session active

Removing the App or clearing its storage may remove this locally stored information.

Technical information

The App communicates with MCAA’s service provider over the internet. Standard technical information necessary to provide and protect the service, such as network request information, timestamps, and security logs, may be processed by that provider.

The App does not request access to precise device location, contacts, photos, camera, microphone, text messages, call logs, health information, or financial-account information. When an attendee chooses to open Google Maps, a registration page, a payment option, an email link, or another external resource, that service operates under its own privacy practices.

How MCAA uses information

MCAA uses App information to:

• Provide the conference schedule, personal planning tools, content updates, chat, private help, and moderator functions
• Identify participants in conference conversations
• Route Ask MCAA questions to authorized moderators
• Prevent abuse, enforce Community Guidelines, investigate reports, and maintain service security
• Administer moderator access and conference support
• Diagnose service problems and maintain reliable App operation
• Evaluate App adoption and usefulness, including reviewing aggregate counts and trends after the conference to help determine whether an App should be offered for future conferences

MCAA does not use App information for targeted advertising and does not sell App users’ personal information.

How information is disclosed

MCAA may disclose App information in the following circumstances:

• Other attendees: Profile information and messages are displayed as described above when an attendee participates in conference-wide or session-specific chat.
• Authorized moderators and administrators: These individuals may access attendee profiles, private help conversations, reports, moderation records, and other information needed to operate and protect the conference service.
• Service providers: Supabase provides authentication, database hosting, real-time messaging, and related infrastructure on MCAA’s behalf. Service providers may process information only as needed to provide and secure their services and according to their applicable agreements and privacy terms.
• Legal and safety reasons: MCAA may preserve or disclose information when reasonably necessary to comply with law, respond to lawful process, enforce applicable rules, investigate misuse, or protect the rights, safety, and security of attendees, MCAA, or others.
• With consent: MCAA may disclose information when the affected user directs or authorizes the disclosure.

MCAA may use or disclose aggregated or de-identified information that does not reasonably identify an individual.

Data security

App network traffic is encrypted in transit. The service uses authentication, database access controls, and role-based restrictions intended to limit access to authorized users, moderators, and administrators. MCAA also limits administrative access to individuals who need it to operate or support the conference.

No method of electronic storage or transmission is completely secure. MCAA therefore cannot guarantee absolute security, but it uses reasonable administrative and technical measures appropriate to the nature of the App and the information it handles.

Retention

MCAA retains identifiable App information only for as long as reasonably necessary to operate and support the conference, address safety or moderation issues, evaluate App adoption, comply with legal obligations, and resolve disputes.

MCAA will delete or de-identify routine identifiable conference App data, including attendee profiles, chat messages, reports, block records, and related moderation data, within 180 days after the conference ends. Information may be retained longer when reasonably necessary for a reported safety issue, legal obligation, dispute, or documented administrative need. Aggregate or de-identified statistics may be retained for future conference planning.

Attendee choices and account deletion

Attendees can edit their display name, organization, and optional title from My Profile in the App.

Attendees can permanently delete their anonymous attendee account from More > My Profile & App Tips > Delete my chat profile and account. This deletion removes the attendee’s server-side authentication record and associated profile, chat messages, reports, blocked-attendee records, and moderator status. It also clears the local profile and cached chat information. Saved sessions and My Plan selections stored locally on the device are not deleted by the account-deletion command; those can be removed by clearing the App’s storage or uninstalling the App.

An attendee who cannot access the App may request deletion or ask a privacy question by contacting mcmcconferenceapp@gmail.com. The request should identify the display name and organization used in the App and provide enough information for MCAA to locate the correct record. MCAA may request reasonable verification before deleting information to avoid deleting another attendee’s record.

Children

The App is intended for adult conference attendees and is not directed to children. MCAA does not knowingly solicit personal information from children through the App.

External services and links

The App may open websites, maps, registration pages, payment instructions, email applications, or other third-party services. MCAA does not control those third parties’ privacy or security practices. Users should review the policies of an external service before providing information to it.

Changes to this policy

MCAA may update this Privacy Policy to reflect changes to the App, conference operations, service providers, or legal requirements. The effective date at the top of the policy will identify the current version. Material changes will be communicated through the App, the MCAA website, or another appropriate channel when required.
